Airline Voucher Request

The Airline Voucher Request Form should only be user AFTER you have been prompted to check for available vouchers while trying to book travel using the Online Travel Booking Tool. Complete the Travel Details section with the information you used to search for your travel options. A member of the iTravel team with contact you if a voucher is indeed available for your travel. Note: Vouchers may not be requested for reservations that are currently on hold or have been purchased. 

Guest Travel Arranger Access (Book Travel for Non-Employees)

Guest Travel Arranger Access is given to staff whose job function requires the ability to book travel for other non-ACS Staff. Use this form to provide a business reason for needing this access. Include your Manager's name. Once the form has been submitted and approval granted, instructions on how to use the Guest Travel Arranger feature will be provided.

Concur Travel Access for Staff

Per the ACS Travel and Expense Policy, all staff are required to use Concur Travel to book air, car, hotel, and/or rail travel. Due to audit requirements, access to Concur Travel is only provided to staff whose position involves travel and/or arranging travel for others (transient/individual or meeting travel). The first step requres that your manager register you to complete the Society Pathways Training. Review the Concur Travel Access for Staff document for more details. Additional information for manager's can be found on the Manager Resources Page on Society Source.

Non-Employee General Question or Assistance

 The Non-Employee General Question or Assistance Form should be used to submit a general travel question/issue for Non-Staff. For urgent assistance, contact BCD Travel directly (fees may apply.)

Non-Employee Travel (travel authorization for non-employees)

Staff with "Guest Travel Arranger Access" should continue to book non-employee travel via the Online Travel Book Tool (this process does not apply). Staff that do not have "Guest Travel Arranger Access" must complete this form prior to instructing non-employees to contact BCD Travel to make their reservations.

Travel Arranger Access (Book Travel for other Employees)

Travel Arranger access is given to staff whose job functions requres the ability to book travel for other ACS staff. Use this form to request Travel Arranger Access or remove Travel Arranger Access from existing staff. Staff with existing Travel Arranger Access: In the description box on the form, include the names of staff you need to be a Travel Arranger for and access should be granted within 3-5 business days. Staff without existing Travel Arranger Access: Ensure you (requestor) have an active profile in the Online Travel Booking Tool as this is required. If you do, In the description box on the form, include the names of the staff you need to be a Travel Arranger for, and access should be granted within 3-5 business days. If you do not, review the Travel Profile Request document. If you are unsure, please request verification in the description box of the form.

This form is internal use only for Attendee Managment Specialists.

BCD Travel Staff - Airline Ticket Change Approval 

This form is internal use only to BCD Travel Staff.Changes to ticketed airline reservations incurring a cost greater than $400, including the applicable change fee require written pre-approval from a Traveler's Manager or the appropriate staff partner for volunteers. Managers should use this form to approve a ticket change for a traveler. Upon submission, you will be notified if ticket change costs are great than $400.
